Overall Booth Disclaimer:

 

The Coralville Asian Festival welcomes everyone to celebrate the vibrant cultures, cuisines, resources, and organizations that represents out local Asian American communities. Booths are assigned on first-come, first-served basis subject to the festival capacity and the needs of both the Asian American and the broader public. Submitting an application does not guarantee acceptance as a booth or vendor. The Coralville Asian Festival planning committee reserves the right to make final decisions regarding booth approvals, placements, sizes and related materials.

 

Cultural Booth:

 

We welcome any and all to apply for a Cultural Booth to represent your ethnic community’s arts and crafts, history, traditional dresses and regalia, artifacts, and other materials to demonstrate its rich history. We ask all cultural booths to have an interactive component (traditional games, script, etc.), but must not sell any services or merchandise. We strongly encourage applicants who are connected to one of our state’s many Asian ethnic community organizations.

 

Non-Profit Booth:

 

Organizations that operate solely for the benefit of the local community and are able to provide a 501(c)(3) EIN number could apply for a Non-Profit Booth. Non-Profit Booth is not allowed to sell any food, beverages, or merchandise and must not promote or display anything that might appear controversial or political. No hiring, recruiting for employment, fundraising, or selling is allowed at non-profit booths; engaging in these activities will result in being charged the Commercial Booth rate.

 

Commercial (and Artisan) Booth:

 

There are two types of Commercial Booth: Commercial and Artisan. Commercial Booth can display products or services or any agency recruiting for employment. You may sell your product or service at the festival provided that you have a valid business license. Emerging Entrepreneur and Artisan are for local, Asian-owned small businesses selling art, ceramics, jewelry, home, vintage, niche products, and other related items.

APPLICATION REVIEW AND APPROVAL: MARCH 31, 2026

DEADLINE FOR FULL PAYMENT: APRIL 16, 2026

Booth Pricing

 

  • Cultural Booth: $0

  • Non-Profit Booth: $0

  • Emerging Entrepreneur / Artisan Booth: $75 

  • Commercial Booth: $150

Vendor may bring their own setup or rent one from the Festival. Pricing to rent setup from the Festival.

  • Rent 10x10 tent/weight: $150/each

  • Rent 6ft table: $30/each

  • Rent chair: $15/each

 

General Policy

 

 

Operating Hours:

All booths must be set up and ready for inspection and operation by 12:00 PM on the day of the event and must not be unattended from the hours of 12:00 PM until 6:00 PM. 

 

Fire and Health Safety:

The local Fire Marshall and Health Department Inspector, or their agents will inspect any booths and exhibits. Any items that do not comply with the health and safety standards will be seized and removed immediately.

 

Display:

All displays must not extend more than two inches beyond the perimeter of the table. Please keep aisles clear as dictated by fire safety standards.

 

Use of Tables and Chairs:

All tables and chairs must remain inside of the designated booth area. Tables and chairs specifically provided for the use of dining areas, entertainment areas, or other booths must not be moved into your booth. You may request additional tables and chairs from us with advance notice or supply your own. Please have your personal tables and chairs clearly labeled to prevent any risk of loss.

Vendor Agreement

By submitting this application, the Vendor confirms they have read, understood and agreed to abide the responsibilities, conditions, and terms set forth by the Coralville Asian Festival. The Vendor acknowledges that failure to comply with these requirements may result in removal from the event and possible disqualification from future participation. 

1. Vendor will arrive at the designated time specified in the organizing committee's email sent the week prior to the event for vehicle unloading and booth setup. 

2. All fees must be paid in full prior to the event in order for the Vendor to be permitted to setup.

3. Pop-up tents are not allowed unless approved in advance by the organizing committee. If unauthorized tents are set up, the organizing committee reserves the right to require their immediate removal.

4. Vendor is responsible for providing their own equipment and supplies.

5. Vendor must be open and fully operational during the official Festival hours unless a prior agreement has made with the organizing committee.

6. Vendor is responsible for maintaining cleanliness in their assigned area, including the removal of trash, food scraps, and litter.

7. Tear-down and vehicle loading may only begin after the Festival has officially ended and the organizing committee announces that tear-down may commence. 

8. Vendors are strictly prohibited from serving or selling alcohol. 

9. The Coralville Asian Festival is not liable for any injury to vendors or participants, or any loss, theft, or damage to property, including but not limited to incidents caused by weather, fire, accidents, or any other unforeseen circumstances. 

10. The Coralville Asian Festival reserves the right to deny or remove any booth or proposed booth that, in its sole judgement, does not align with the character or standards of the Festival. This includes, but is not limited to, decisions regarding individuals, behavior, merchandise, printed materials, food offerings, activities, and any other element impacting the Festival's overall atmosphere.

11. Vendor acknowledge and agrees the Coralville Asian Festival has the authority to limit, regulate, or prohibit any signage in order to maintain a consistent and cohesive visual presentation throughout the event. 

12. Vendor arriving late for setup will not be permitted to participate.
